Newborn paperwork checklist: every deadline after birth
The deadlines that matter most: add your baby to your work health plan within 30 days of birth (HealthCare.gov plans allow 60), and file your state paid leave claim on time, within 41 days in California and 30 days in New York, New Jersey and Washington. Ask for the Social Security number at the hospital; the card takes about 2 to 4 weeks.

Tell your employer when your leave starts
If you will use federal FMLA, give at least 30 days’ notice when the leave is foreseeable, as a due date is. If the baby comes early, tell them as soon as you can. Many state leave programs also ask for 30 days’ notice to your employer.

Fill in the birth certificate form and say yes to a Social Security number
The hospital files the birth certificate with your state. On the same form you can ask for your baby’s Social Security number. Social Security says the card takes about 2 weeks to process plus up to 2 weeks in the mail. Order certified copies of the birth certificate from the vital records office in the state where your baby was born; you will need one for a passport and some benefits.

On Medicaid? Your baby is already covered
If you had Medicaid when you gave birth, your baby is covered from birth to the first birthday with no application. Call your state Medicaid office to report the birth so your baby gets an ID card.

Federal rules give you at least 30 days after the birth to enroll your baby, and coverage starts on the birth date. Some plans allow longer; ask HR. Miss the window and you may wait until open enrollment.

Change your FSA and benefit elections
A birth lets you change mid-year elections, such as starting or raising a dependent care FSA (up to $7,500 in 2026). The rule allows the change but does not require your plan to offer it, and your plan sets the deadline, often 30 days. Ask HR.

Chase the Social Security number
If you did not ask at the hospital, or the card never came, apply with Form SS-5 and your baby’s birth certificate at a Social Security office. You need the number for health insurance, the Trump Account and your tax return.

Claim the $1,000 Trump Account deposit
Babies born from 2025 through 2028 who are U.S. citizens with a Social Security number can get a one-time $1,000 government deposit. Parents elect it with IRS Form 4547. The IRS lists no deadline on its pages as of October 2026.

Having a baby opens a Special Enrollment Period. You can enroll up to 60 days after the birth, and coverage can start on the day your baby was born. State-run marketplaces follow their own rules.

Have the SSN before you file
To claim the Child Tax Credit (up to $2,200 per child in 2026), your baby’s Social Security number must be issued before the due date of your return, including extensions.

What if I miss a deadline?
Health plans: if you miss the 30-day window for a work plan, you may have to wait for open enrollment, so call HR the same day you notice. State paid leave: late claims can still be paid if you have good cause in some states, but benefits can be reduced or denied. Social Security number and Trump Account: there is no penalty for doing these later, but you need the number to claim the Child Tax Credit.
Which deadlines are rules, and which are set by your plan?
“Federal rule” steps come from federal law or regulation and apply everywhere. “State rule” steps depend on your state. “Your plan sets it” means the law allows the change but your employer’s plan picks the window. “Good to know” steps have no deadline but make the others easier.
